ServiceM8 · HubSpot · Xero

Your sales pipeline has no idea what your job management is doing

Quotes get sent in the field and the deal sits still. A deposit lands in Xero and nothing moves. We build the ServiceM8 and HubSpot automation that keeps them in step, so nobody has to.

Tell us what is not talking

A scoping call, not a sales call • No obligation

You already know if this is you

These are the ones we hear every time.

The deal is still at Quote Sent

It was accepted in the field three weeks ago. Nobody moved it, because moving it is a second job in a second system.

The deposit landed and the pipeline does not know

Money is in the bank on Tuesday and the CRM still says awaiting payment on Friday.

The same customer typed in three times

Once into the CRM, once into the job system, once into the accounting file. Each one a chance to fat-finger a phone number.

A rebooked job with the old date attached

The visit moved. The CRM never heard, so the reminder and the report are both wrong.

Nobody can answer how last month went

Not without exporting two systems and joining them in a spreadsheet by hand.

You are the integration

The person keeping it all in step is you, and it happens after dinner.

What stops being your job

A typical build. Yours is mapped against your own stages and fields, not a template.

  1. A consult gets booked

The client and job card appear in ServiceM8, with the deal detail already in the job description. Nobody retypes an address.

  2. The visit gets scheduled

The deal moves and the visit date is written back. Rebook it and the date rewrites itself.

  3. A quote goes out from the field

The deal moves to quote sent, the amount lands on it, and the date is stamped.

  4. The customer accepts

The deal moves to awaiting deposit and the amount updates to whatever was actually accepted.

  5. A payment hits the job

The deal flips to deposit paid, and it knows the difference between a deposit and payment in full.

  6. The work order gets booked in

The deal closes won and the booked date is stamped, so the month reports itself.

And the part that closes the loop

ServiceM8 and Xero already settle the money between themselves. An approved invoice goes across to Xero, and a payment reconciled in Xero comes back to the ServiceM8 job on its own. That is built in, and we do not charge for it.

The system that never hears about any of it is your CRM. We are the piece that watches that payment land and moves the deal to match, so your pipeline finally agrees with your job list and your accounts without anyone opening a second tab.

What we will not sell you

ServiceM8 already connects to Xero, MYOB and QuickBooks. It is built in, it works well, and ServiceM8 maintains it. If getting your invoices and payments into your accounting package is all you need, turn it on and pay us nothing.

We build the part that does not exist. Your CRM sitting in the middle, the stage logic that decides what a quote acceptance or a part payment actually means for a deal, and the fields that let three systems agree on where a job is right now.

If a conversation with us ends in "you do not need us for that", it has still been a good conversation.

How it runs

Four steps, and you see it working on your own jobs before it is live.

  1. We scope it

A call, and a look at both systems as they actually are. You get a fixed price out of it, not an estimate that drifts.

  2. We build against your setup

Your pipeline stages, your job fields, your naming. Not a template with your logo on it.

  3. We prove it on your data

Every automation demonstrated end to end on your own jobs before it goes anywhere near live.

  4. We hand it over

It runs where you want it, on your own cloud account or ours, and you own what we wrote. No black box, no licence holding you hostage.

Systems in the mix

ServiceM8 is one of them. We do this across other business systems too.

For agencies and consultants

Building this for a client?

Agencies and CRM consultants sell this work and then need someone to build it. That is fine by us. You keep the relationship and the margin, we write the code and stay out of the way.

Australian timezone, and you deal directly with the person writing it rather than an account manager. You get a fixed price up front, and we will not approach your client during the build or after it.

Before you ask

Including the one about Xero, because it is the first thing everyone says.

Doesn't ServiceM8 already connect to Xero?
Yes, and it works well. ServiceM8 has built-in integration with Xero, MYOB and QuickBooks Online, and if that is all you need you should just turn it on. We build the part that does not exist, which is the CRM sitting in the middle and the stage logic connecting all three.
What if we use MYOB or QuickBooks instead of Xero?
That is fine. ServiceM8 supports all three, and the automation we build sits above the accounting layer rather than replacing it.
Will it break when ServiceM8 changes something?
We build against documented, supported webhooks and API endpoints rather than scraping or guessing, which is what usually breaks. If something we built stops working, we fix it at no charge. Changes and new work are quoted first.
What happens when a sync fails?
It fails loudly rather than silently. A failure is logged and surfaced, not swallowed, because a sync that quietly stops is worse than one that never worked.
Do you need access to our accounts?
Yes, to build and test it. Access is scoped to the systems involved, and you can revoke it at any time. We will never ask you to email a password.
How long does it take?
Most builds are a matter of weeks rather than months, and you get a firm timeline with the fixed price after scoping rather than an estimate that moves.
Do we own it?
Yes. You own the code we write for you, and there is no licence or lock-in. It can run in your own cloud account, on AWS, Railway, Cloudflare, DigitalOcean or wherever you already are, so you are never renting access to your own integration.
Can you work with OpenSolar too?
Yes. Solar installers often have OpenSolar in the mix alongside ServiceM8, and proposal and amount data can be synced the same way.
